Getting started
How do I log my first entry?
- Open the app and tap the add-entry button at the bottom.
- Enter the amount, then pick a category, account and date.
- Optionally add a note, a receipt photo, or a location.
- Save.
You can also let the AI assistant do it — say “lunch 12” and it fills in the amount, category and ledger for you to confirm.
What's the difference between ledgers, accounts and categories?
- Ledger: a self-contained set of records, e.g. “Daily”, “Travel”, “Renovation” — their statistics stay separate.
- Account: where the money actually sits — cash, a bank card, a payment account. Balances update automatically as you log entries.
- Category: what the money was for, e.g. food or transport, with top-level and sub-categories.
How do I edit or delete an entry?
Tap the entry in the records list to edit it; delete it from the edit screen or by swiping the row. Note that records in a shared ledger that have been rolled into a completed settlement are locked read-only and can no longer be edited or deleted.
AI assistant
What can the AI assistant do?
- Chat: “lunch 12, taxi 6” logs both entries from one sentence.
- Voice: just say it — your speech is transcribed and handed to the AI.
- Photo: upload a receipt, bill or payment screenshot and the amount, merchant and date are read for you.
- Ask questions: “how much did I spend on food this month?” — the app computes the exact numbers locally and shows a chart.
- Edit by voice: “change yesterday's coffee to 45”, applied once you confirm.
Every AI-suggested entry waits for your confirmation before it is written to your ledger.
Is there a limit on AI usage?
Yes. Free accounts get 10 AI messages per week; SnapSpend Pro gets 100. The window is anchored to your first-ever AI use and rolls over every 7 days (it is not a fixed Monday reset). Your remaining count is shown on the AI assistant screen.
The AI got the amount or category wrong — what can I do?
AI output can be inaccurate, which is why nothing is saved until you confirm it — you can correct the amount, category, ledger and date directly on the confirmation card before saving. For photo recognition, a clear, evenly lit receipt with the total unobstructed improves accuracy considerably.
Do AI features need the internet? Where does my data go?
Yes, they need a connection. When you use AI features, your chat text, transcribed speech, images sent for recognition, and a necessary snapshot of your ledger information (ledger names, category names, currencies, a spending summary) are forwarded through our servers to a third-party large-model provider. See the Privacy Policy for details. If you don't use AI features, none of this processing happens.
Shared ledgers and splitting
How do I invite someone to a ledger?
- Open the ledger you want to share and go to its settings.
- Turn on sharing (collaboration) and generate an invite link.
- Send the link to the other person — they open it and accept the invitation in the app to join.
Invite links can have an expiry date, a maximum number of uses, and can require your approval before someone joins. Member roles are owner, admin, editor and viewer, in decreasing order of permission.
How do splitting and settlement work?
When logging an entry you can set who paid and who shares the cost (evenly, or a specific amount per person). When it's time to square up, the owner or an admin starts a settlement: the app gathers the unsettled records for that period, works out what each member is owed or owes, and suggests a plan with the fewest transfers.
A settlement is a snapshot: the records it includes are locked read-only and never enter a future settlement.
Who can see my shared-ledger data?
Records in a shared ledger (amount, category, note, location, images), split and settlement information, and your display name and avatar are synced to the other members of that ledger. Ledgers you have not shared are never uploaded and no one else can see them.
I'm not receiving collaboration notifications
- Check that Settings → Notifications is enabled inside the app.
- Check that iOS Settings → Notifications → SnapSpend allows notifications.
- Make sure the device is online and you are signed in.
- If they still don't arrive, try signing out and back in; contact us if that doesn't help.
Data, sync and backup
Where is my data stored?
SnapSpend is local-first: ledgers you haven't shared — along with accounts, records, loans and budgets — are stored only on your device by default. If you're signed in to iCloud, they sync across your own devices through Apple's iCloud, held in your personal private iCloud database, which we (the developer) cannot see. Only what network features require — account information, shared-ledger data, AI requests — is uploaded to our servers.
How do I move my data to a new phone?
- On the old phone, make sure you're signed in to iCloud and let the sync finish.
- On the new phone, sign in to the same iCloud account, install and open SnapSpend, and wait for the data to sync.
- If you use shared ledgers, sign in to the same SnapSpend account on the new phone and they'll be restored automatically.
You can also migrate manually using the export/import feature in SnapSpend Pro.
iCloud sync isn't working, or two devices disagree
- Confirm both devices are signed in to the same iCloud account.
- Confirm iOS Settings → (your Apple Account) → iCloud allows SnapSpend to use iCloud.
- Check that the devices are online and your iCloud storage isn't full.
- Leave the app open in the foreground for a while — iCloud sync can lag.
- If it still won't sync, contact us with both devices' iOS versions.
How do I export my data?
Go to Settings → Export & Import to export your bookkeeping data. This feature requires SnapSpend Pro.
Account and sign-in
Do I have to create an account?
No. You can use SnapSpend without signing in — your data stays on your device and syncs through your own iCloud. An account is only needed for network features such as shared ledgers, the AI assistant, and a cross-device account.
Which sign-in methods are supported?
- Sign in with Apple
- WeChat sign-in
- Email + password (a verification code is emailed when you register)
I forgot my password / the verification email never arrived
Choose password recovery on the sign-in screen and enter your registered email to receive a code. If it doesn't arrive, check your spam folder, confirm the address is correct, and try again shortly (codes are short-lived). Contact us if the problem persists.
How do I delete my account?
- Sign in, then open Settings in the app.
- Scroll to the bottom and tap “Delete account”.
- Confirm when prompted.
After deletion, the server-side personal information tied to your account (including collaborative records you authored) is deleted or anonymized, except where retention is required by law. Deletion is irreversible. Data stored locally on your device and in your personal iCloud stays under your control and can be deleted separately. Where some of your records in a shared ledger were already rolled into other members' settlements or history, an anonymized snapshot may remain in that ledger for its integrity.
Note: deleting your account does not cancel your subscription — cancel it separately in your App Store account settings.
Subscriptions and purchases
What does SnapSpend Pro include?
The free version includes 2 ledgers, 3 accounts and 10 AI messages per week. SnapSpend Pro adds:
- Unlimited ledgers and accounts
- 100 AI messages per week
- Data export and import
Monthly and yearly plans are available; the current price is shown in the app under Settings → SnapSpend Pro.
How do I cancel my subscription?
Subscriptions are managed by Apple, so cancel them in your iOS settings:
- Open the iPhone Settings app.
- Tap your Apple Account at the top → Subscriptions.
- Select SnapSpend and tap Cancel Subscription.
Subscriptions renew automatically unless auto-renew is turned off at least 24 hours before the end of the current period. After cancelling you keep Pro until the current period ends.
I changed device or reinstalled and Pro is gone — how do I restore it?
Make sure you're using the same Apple Account you purchased with, then open Settings → SnapSpend Pro and tap Restore Purchases. If it still doesn't restore, contact us with your purchase receipt.
How do I request a refund?
All App Store refunds are handled by Apple — we cannot issue them directly. Visit reportaproblem.apple.com, sign in with your Apple Account and select the purchase to request a refund.
Other common questions
Where do exchange rates come from, and how often do they update?
The app supports 150+ currencies, with rates refreshed periodically from our server. Rates are for bookkeeping conversion only and are not investment or exchange advice — your bank or payment provider's rate governs actual transactions.
Voice bookkeeping isn't working
- Check that iOS Settings allows SnapSpend to use the Microphone and Speech Recognition.
- Make sure the device isn't muted and the microphone isn't in use by another app.
- Speech is transcribed on-device where supported; on devices that don't support it, a connection may be required.
The app crashes or freezes
- Force-quit the app and reopen it.
- Make sure you're on the latest version.
- Restart your device.
- If it still crashes, contact us with your device model, iOS version, app version, and exactly what you were doing — we'll investigate.
Please don't delete the app before the issue is resolved — local data that hasn't synced to iCloud could be lost with it.
